  I.     Introduction

This document defines the More Dots Kft. policy on data protection and data security and is based on the following principles:

The More Dots Kft will comply with all relevant legislation, particularly the General Data Protection Regulation (GDPR) and base its policies and practices on compliance with the Data Protection principles

The More Dots Kft., as controller:

The purposes of this Regulation

(REGULATION (EU) 2016/679 OF THE EUROPEAN PARLIAMENT AND OF THE COUNCIL

on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation)

‘personal data’ means any information relating to an identified or identifiable natural person (‘data subject’); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person;

‘processing’ means any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction;

‘restriction of processing’ means the marking of stored personal data with the aim of limiting their processing in the future;

 

(4)

‘profiling’ means any form of automated processing of personal data consisting of the use of personal data to evaluate certain personal aspects relating to a natural person, in particular to analyse or predict aspects concerning that natural person's performance at work, economic situation, health, personal preferences, interests, reliability, behaviour, location or movements;

 

(5)

‘controller’ means the natural or legal person, public authority, agency or other body which, alone or jointly with others, determines the purposes and means of the processing of personal data; where the purposes and means of such processing are determined by Union or Member State law, the controller or the specific criteria for its nomination may be provided for by Union or Member State law;

 

(6)

‘processor’ means a natural or legal person, public authority, agency or other body which processes personal data on behalf of the controller;

 

(7)

‘third party’ means a natural or legal person, public authority, agency or body other than the data subject, controller, processor and persons who, under the direct authority of the controller or processor, are authorised to process personal data;

 

(8)

‘consent’ of the data subject means any freely given, specific, informed and unambiguous indication of the data subject's wishes by which he or she, by a statement or by a clear affirmative action, signifies agreement to the processing of personal data relating to him or her;

 

(9)

‘personal data breach’ means a breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to, personal data transmitted, stored or otherwise processed;

 

(10)

‘genetic data’ means personal data relating to the inherited or acquired genetic characteristics of a natural person which give unique information about the physiology or the health of that natural person and which result, in particular, from an analysis of a biological sample from the natural person in question;

 

(11)

‘biometric data’ means personal data resulting from specific technical processing relating to the physical, physiological or behavioural characteristics of a natural person, which allow or confirm the unique identification of that natural person, such as facial images or dactyloscopic data;

 

(12)

‘data concerning health’ means personal data related to the physical or mental health of a natural person, including the provision of health care services, which reveal information about his or her health status;

 

(13)

‘supervisory authority concerned’ means a supervisory authority which is concerned by the processing of personal data because:

(a)

the controller or processor is established on the territory of the Member State of that supervisory authority;

(b)

data subjects residing in the Member State of that supervisory authority are substantially affected or likely to be substantially affected by the processing; or

(c)

a complaint has been lodged with that supervisory authority;

 

(14)

‘cross-border processing’ means either:

(a)

processing of personal data which takes place in the context of the activities of establishments in more than one Member State of a controller or processor in the Union where the controller or processor is established in more than one Member State; or

(b)

processing of personal data which takes place in the context of the activities of a single establishment of a controller or processor in the Union but which substantially affects or is likely to substantially affect data subjects in more than one Member State.

‘information society service’ means a service as defined in point (b) of Article 1(1) of Directive (EU) 2015/1535 of the European Parliament and of the Council (19);

 

(16)

‘international organisation’ means an organisation and its subordinate bodies governed by public international law, or any other body which is set up by, or on the basis of, an agreement between two or more countries.

6.    Decision-making and profiling Automatically

We inform You that by this data management project we track Your activity which is made on this website (e.g. Who watch and which presentation). This helps the work of More Dots Kft. in the next conference, organising and creating a video, and increasing the popularity of the presentations. We handle and store these data without names or any information which could be linked to any of the involved.

 

 

7.    Forwarding Data

Moreover, we inform You that we cooperate with subcontractors and partners in order to create the most appropriate services. Thus they (the following organizations) participate in the data processing. There is no joint data processing.

Our Company in order to observe the requirements of Data Protection - with appropriate organizational and technical measures - ensures the fair and clear data management. We take care of Your data's protection and security, especially against unauthorized access and handling, changing, forwarding, publication, deletion or extermination, accidental destruction (loss) or damage.

 V.      Safeguarding

1.     The way of storage of personal data

The More Dots Kft. and its co-workers take proper technical and organizational acts in order to guarantee the proper level of data protection. The More Dots Kft. chooses and uses the IT devices that are used for the personal data management:

The More Dots Kft. protects the data with appropriate actions against unauthorized access, alteration, transmission, publication, deletion or eradication, injury, and against to become inaccessible by the changing of the used technic.

The More Dots Kft. secures with the proper technical issues against the phenomenon when the data -except when it is allowed by law- can be linked and associated with the involved people in order to protect the data which are handled electronical.

The More Dots Kft. takes technical and organizational actions with considering the probable development of technology in order to guarantee the protection of data which is needed against the risks related to the data management.

Necessarily, this is in regard both to electronical and paper personal data.

The data protection of More Dots Kft. is the base of its users’ identification and authentication of information.

Data protection can be ensured by the followings:

The More Dots Kft. commands for all its employees and sub-contractor to store the paper personal data in a locker.

This kind of documents are stored like this in office for a year and after that they are placed in a record office till the agreed time.

The More Dots Kft. complies during the data management with the followings:

 

The computers and other IT devices of More Dots Kft. and its data management partners are secured against fraud, spying, sabotage, vandalism, fire, flood and viruses, computer break-ins, also against any other cyber-attacks.

The operator provides for security with application level security technics and programs

Beside all these, we inform our customers that electronical messages forwarded through internet (irrespectively of the protocol) are vulnerable to network threat, which lead to dishonest acts, impugnments of agreements or to modification and exposure of information.

To defend data and information from these threats the data manager achieves all precautions they can. Thus, the systems are under control in order to register any security deviations and to provide evidences in every security case. Beyond the aboves the system control allows monitoring the effectiveness of used precaution. The More Dots Kft. as data manager registers the possible data protection incidents with representing facts and their impacts and the attempts to redress. The possible data protection incidents will be reported to the Hungarian National Authority for Data Protection and Freedom of Information as soon as possible but at least in 72 hours, except when the incident is probably not a risk for the people’s rights and freedom.

 

 

 

VI.      Your rights

You have the right to ask for details of Your data's management, and to clarify, rectify or even to delete or restrict Your personal data. In addition, You are entitled to practice every right that are available for You by the legislation.

The involved person is allowed to ask for information from the Organization about

2.    The right to rectify

The involved person is allowed to ask in writing from the Organization for rectification of any of their personal data (e.g. email address can be altered any time). The Organization has to accomplish the request within one month, and notify them by mail, to the given address.

3.    The right to deletion

The involved person is allowed to ask in writing for the deletion of their personal data.

The request of the deletion can be rejected if the Organization is obligated to continue storing their personal data by legislation. But in case it is not obligated, the Organization has to accomplish the request within one month and notify them by mail to the given availability.

4.    The right to restrict the data management

The involved person is allowed to ask in writing for the blocking of their personal data (with unambiguous request which data is needed to be restricted.) The blocking last until the involved person's reason make the storing of the data needed.

5.    The right to protest

The involved person is allowed to protest in writing against the data management in case the Organization would use or forward personal data in order to expend in scientific research or survey.

6.    The right to complain and to make legal redress

The involved person can lodge an appeal against the data management, this could be sent to the person responsible for the Data Protection or even to the supervisory authority if the personal reason for the complaint is likely to be against any of the laws in connection the Data Protection. And finally, it is possible to go to law.
